Solving the $5,000 Puzzle:
Engineering a "Mobile videography Suite" for Editors Canada

When Editors Canada (led by Training Manager Sara Abdul) approached me about their upcoming 2026 national conference at the Dalhousie Student Union Building, they presented me with a classic logistical challenge. They needed professional, high-fidelity coverage of 42+ sessions across five simultaneous rooms, but they were working with the lean margins of a non-profit organization.

The "Wants vs. Needs" Consultation

A project of this scale, 5 rooms, 2 full days, and dozens of speakers, would typically carry a production price tag of $5,000 or more. During our initial strategy sessions, we looked at every option on the table:

The "Premium" Route: Full crews in every room with dedicated camera and audio operators.

The "Budget" Route: Static wide shots with low-quality internal audio.

Neither of those felt right. The premium route was out of reach, and the budget route would fail the speakers and the audience. Editors Canada needed a third option.

Introducing the RSVIDEO "Mobile Suite" Solution that fits their videography needs

To bridge the gap between their not-for-profit budgetary restraints and their $5,000 vision, I engineered a "Mobile Suite" configuration. Instead of a massive crew, I’m deploying a high-tech, 5-camera array that I can manage with a single assistant.

  • Tactical Gear Deployment: Utilizing my flagship Sony FX3 for the keynotes and a mix of 4K hybrid units (including the DJI Pocket 3) for the breakout rooms.

  • The Audio Failsafe: We prioritized "Studio Clear" vocal quality by capturing dedicated external audio in every single room—essential for professional archival and rewatching.

  • Visual Clarity: We’ve designed the framing to keep both the speaker and the presentation slides in focus, ensuring those who missed the live session don't miss a single detail.

A major "must-have" for this project was Closed Captioning (CC) for every single session. Usually, this is a massive post-production cost. By integrating an AI-driven accessibility workflow into my high-velocity editing pipeline, we were able to bake this feature into the contract, making the 42+ videos ready for a global, inclusive audience.

As we lead up to the May 22-23 conference, I’m already mapping out the logistics of the Dalhousie SUB. From managing acoustics in the ballrooms to ensuring the 14-day delivery timeline is met, the "Mobile Suite" is built for speed, scale, and soul.
